Billing

A Stackr subscription is billed monthly per club, starting once your site is live, plus a one-time setup fee charged alongside your first month at signup and never again after that — reach out and we’ll work out pricing for your club before you commit to anything. There’s no long-term contract — cancel any time and you won’t be billed again. We don’t currently offer refunds for partial months or the setup fee.

Each billing period, we generate an invoice with a unique reference number, visible on your own /admin/billing page alongside a secure PayMongo payment link — pay by QR Ph. Payment is confirmed automatically once it clears.

Storage, usage & what happens if you go over

Every subscription includes 2GB of receipt photo storage and 300MB of database storage for your club’s records (members, bookings, queue history, and sales) — roughly 2,731 receipt photos and up to 307,200 member records, an illustrative estimate rather than a hard count, since actual usage depends on file sizes and how much booking history each member accumulates. This comfortably covers typical club usage.

If your club goes over either limit, a modest overage rate is billed on top of the base subscription. Going over doesn’t interrupt anything by itself — but if it isn’t resolved (by paying the overage or reducing usage), your club’s own admin dashboard is greyed out with a payment-due notice (your public site keeps running), and if it remains unresolved for 7days, the site is fully suspended. A suspended club can still sign in to download their data at any time, and we’ll always reach out before and during this process — it’s never a surprise.

Your data

Your club’s bookings, members, and sales data live on Stackr’s hosting, not a database you manage. Reach out before cancelling and we’ll send you an export; once a subscription ends, we take the site down and remove the data after a reasonable grace period.

What we provide

A hosted, working instance of the Stackr platform for your club — branded with your name and logo — plus updates, hosting, and email support. The layout, features, and color theme are shared across every club on Stackr and aren’t customized per account.

No warranty

The software is provided as-is. We work to keep it reliable, but we don’t guarantee it will be error-free or uninterrupted, and we’re not liable for indirect or incidental damages arising from its use, to the extent the law allows that to be limited.
